This is a unique leadership position, working directly with the principal, towards the successful expansion of a mid-sized award-winning design practice based in midtown Manhattan. Includes responsibility for running the day-to-day operations of the firm. Strong financial management experience is required.
Responsibilities
Finance
• Manage all the financial activity that goes on in the firm.
• Be an important source of strategic information:
..........For Principal: Monitor performance, report results, and constantly look for financial warning signs of problems.
..........For Each Profit Center: Trace every type of expense charged against budgets.
..........For Project Managers: Answer questions on all financial aspects of projects, issue status reports, and help manage the finances of their projects.
• Billing: supervise billing and collections
• Staffing: develop work plans for staff, determine project staffing needs, track performance and adjust as required
• Fees: develop GSA 2630 forms and other fee forms for public and private clients. Identify, negotiate, manage and invoice additional services on all contracts.
• Accounts Payable: supervise disbursements of funds
• Budgeting: prepare and update budgets, track performance and analyze variances
• Forecasting: manage the cash position of the firm and prepare cash reports and forecasts for the firm principal
• Consultant Agreements: negotiate agreements and track payments
• Insurance: review liability and employee insurance programs to ensure they are adequate
• Maintain Financial Records: Work with part-time bookkeeper and accountant
General Office Management
• Responsible for all purchasing activities and for maintaining adequate supplies.
• Responsible for office facilities and coordinating outside vendors for cleaning and maintenance services.
• Maintain and update written standards for office procedures
Human Resources
• Responsible for personnel management functions, including recruitment, hiring, employee benefits, compensation programs, and record keeping.
Information Technology
• Responsible for all computer assets, including hardware, software, and networks.
• Manage outside IT vendors for ongoing support.
Capabilities
Strong Quickbooks and Excel abilities are required. A bachelor’s degree in business administration and/or bachelor’s degree in architecture or engineering with MBA is highly desirable.
